Office Assistant Intern (Amsterdam)


Key Responsibilities

1、Office Operations Support

(1)Daily Task Management: Oversee procurement, inventory management, and distribution of office supplies; conduct regular stock checks and replenish as needed; assist in organizing internal meetings (e.g., booking conference rooms, preparing meeting materials, taking basic minutes); coordinate cross-departmental office resources.

(2)Office Expansion & Renovation Support: Liaise with renovation teams and suppliers; monitor expansion/renovation progress; gather departmental office requirements and provide timely feedback. Organize renovation-related documents, blueprints, and communication records; assist with on-site safety inspections and material inventory checks;

(3)Office Environment Maintenance: Assist in inspecting office area facilities (e.g., air conditioning, printers, lighting) for proper functioning; promptly contact maintenance for issues; maintain office cleanliness and coordinate with cleaning teams to optimize cleaning schedules.

2、HR Support Functions

(1)Sick Leave Follow-up: Assist in contacting local employees on sick leave to contact company doctor for follow up with re-integration plan for employee and prepare the document for UWV and return-to-work plans. Synchronize information with HRBP and update employee sick leave records.

(2)Attendance Management Support: Collaborate with the headquarters Shared Service Center (SSC) to compile various types of employee leave and attendance statistics, and regularly share statistical information with the SSC and HR Business Partners (HRBPs) for synchronization.

(3)Recruitment Support: Assist HR in screening resumes, conduct preliminary candidate qualification matching against job requirements (e.g., education, internship experience, skill certifications), organize qualified resumes with initial screening notes, and schedule candidate interviews.

Requirements

1、Education and Status: Currently enrolled university student (bachelor's degree or higher), preference for Public Administration, Human Resource Management, or Business Administration-related major; must hold a valid Dutch internship visa or residence permit to fulfill on-site work requirements.

2、Language Proficiency: Fluent in both Mandarin and English (excellent listening, speaking, reading, and writing skills) for workplace communication; basic Dutch proficiency preferred to assist with local staff and supplier coordination (e.g., sick leave follow-ups, office facility maintenance liaisons).

3、Compliance Awareness: Familiarity with or willingness to rapidly learn EU and Dutch data protection regulations; capable of handling sensitive information such as employee attendance records and recruitment resumes with compliance assurance.

4、Work Capabilities: Detail-oriented and responsible with strong time management and multitasking skills; able to concurrently manage office operations and HR support tasks; proficient in Microsoft Office (Word, Excel, PowerPoint); candidates with basic data organization experience preferred.

5、Cultural Fit: Adaptable to cross-cultural office environments (requiring coordination with Dutch colleagues and international teams), possessing fundamental communication and coordination skills to interact politely and efficiently with internal/external stakeholders. Familiarity with Amsterdam's local work rhythms and basic daily life scenarios is preferred.

6、Attendance Requirements: Available for 3-4 days per week, able to commit to a stable internship for over 3 months. Prior administrative/HR internship experience (especially at multinational or European companies) is preferred.
