Office Operational Assistant (Chinese/Mandarin Speakers)

Job Description:

Autel Netherlands is looking for a proactive Office Operational Assistant to support daily office operations, HR-related administration, and general office coordination. This role ensures smooth employee experiences, efficient office functioning, and effective execution of administrative processes in an international, fast-paced environment.

Key Responsibilities

HR & Employee Support

  • Assist the full employee lifecycle, including onboarding, offboarding, and maintaining accurate employee data in HR systems.
  • Coordinate onboarding/offboarding schedules, including welcome packs, orientation, leave administration.
  • Assist with employee engagement activities, trainings (such as emergency response), and internal events.
  • Support HR manager on absence management, performance cycles, and employee relations.
  • Ensure Company policies and procedures are followed; provide guidance on HR/admin inquiries.
  • Draft HR communications, update policies, handbooks, and process guides.
  • Contribute to HR projects and process improvements.

Administrative & Office Operations Support

  • Oversee daily office operations, including supplies, equipment, facility maintenance, building services, and vendor coordination.
  • Handle mail, courier services, office correspondence, reception backup, and act as the primary point of contact for office-related inquiries.
  • Support management with scheduling, travel arrangements (domestic/international), document preparation, and travel administration/reporting.
  • Assist administrative processes such as invoice verification, expense claims, basic budgeting, procurement support, contracts, and purchase orders.
  • Support office logistics including package tracking, customs declarations, purchase requests, and general phone/email handling.
  • Coordinate company events, meetings, external visits, team-building activities, and employee benefit arrangements.
  • Ensure office cleanliness, organization, and a well-functioning work environment in collaboration with cleaning and facility service providers.
  • Monitor stationery and office inventory to ensure timely replenishment.
  • Ensure compliance with office operations procedures and escalate issues when needed.

Requirements

  • Bachelor’s degree in HR, Business Administration, or related fields.
  • 1–2 years of HR or admin experience.
  • Strong MS Office skills (SAP/FOL is a plus).
  • Excellent communication in Dutch and English; Chinese is a plus.
  • Strong organizational skills, attention to detail, and a proactive mindset.
  • Ability to handle confidential information with integrity and work in an international team.
